Word Changing Styles

Changing Styles in Word 2007  mid sentence

Easy way to change styles is to right click on Quick access tool bar
and select customize quick access toolbar





Select all commands and add style separator to Quick Access Tool bar

When you want to change style just click and select the style you want to change to

Listing Tab names in Excel

To list tabs in an Excel spread sheet use VBA





Sub ListSheetNames()

Keeping track of Page numbers

As documents grow and change, keeping track of page number references, and Table of Contents can get complicated.
Word has several built in templetes but if ypu want to customize here is the trick.

Here is a simple TOC









Here is our page 2


Suppose we add a section before. and our story is now on Page 3
Full Layout








We can bookmark each section



Insert bookmark
Name it using only 1 word ( can use" _" to seperate)







Do for other sections



















Go to the Table of contents and select the original number or where you want page number placed.
















ON the "No Page number place"  Select Quick Parts and field




In catagory select Page ref, for this page # select bookmark wordtips and ok


Result New correct page # on word tips

Now set up Brown Fox 
Select the page #
Bookmark Brownfox
Enter





Go to Quick Parts
Select Pageref
Select Brownfox bookmark and ok



Result is Correct page numbers
 In a TOC you might have to Cut and Paste Line to reorder to match new page numbers but Page numbers will be correct








Inserting the numbers for the first time they are referenced to where they are at that point.

Hitting "F9" Updates entire sheet so All Indexes and pageref's are up dated to their current position.

Can use to point to a bookmarked  to another page  within text just bookmark it and apply pageref to that bookmark

Word Quick Parts

Under the Insert tab in the text section is a section called Quick Parts
For example :

Select some text that you may use a lot and might even have some  complex indexing scheme that requires  a minor change such as a date:


Select Quick Parts  Save selection to quick parts Gallery.
You can set it up as a Quick Parts gallery but I prefer AutoText.



Create a name and a category. Since I am using this a a Heading Separator I left it as ******* 

Select ok

Next time you want to use the text go to quick parts select Building Blocks Organizer

And select your created Building Block and hit  insert


Result:


We can modify just the date
Change out of Paragraph view

To view  normal
All the formatting and indexing is inserted and we only had to change the date

Paragraphs, anything you use can be recreated and make minor modifications if necessary

Making Photos Stay in place in Word

Random Text Generator  - RAND FUNCTION


When I want to try something new I hate to try it on my working Document.  Sometimes I'll use a copy of my working document but that gets confusing  at times which document I am working with. I set up a test document. 

I'll Open a new word document and use the  random text generator provided by word.
 Type in =RAND(4,3) the first number "4" inserts 4 paragraphs and the "3" inserts 3 sentences per paragraph.

This will displays general information about word: 4 Paragraphs with 3 Sentences. 











Since we are discussing word formatting I'll use the "old RAND"
=RAND.OLD(4,3) Still 4 Paragraphs, with 3 Sentences) But text that is not confused with real text.


=RAND(20,5) would give 20 paragraphs with 5 Sentences

For this example I used =RAND.OLD(10,10) 10 Paragraphs of 10 Sentences

I have some decisions to make:
Photo to big and is beside 2 paragraphs.
I can use the photo "Handles" to re-size or right click on picture and set exact size:

Photo is now beside Paragraph 1











Right Click on Picture and select "Text Wrapping" and we see our default was "Tight"
So if we change to "inline" our text goes from beside "tight" to "inline" with sentence

Inline Wrapping would leave large space on each side
IF we change to Square wrapping:













Tight and Square Wrapping text Whats the difference?
Some images are not square, for example this is a triangle with "Square Wrapping"





The Picture is surrounded "tight" Wrapping. Text close to Picture








Understanding the types of wrapping will help understand picture placements 

Next Captions and making the picture stay where you want it

Note the little Anchor... we will anchor the picture to a paragraph and make it stay where you want it.
